Does this sound familiar?

The software is rarely the real problem.
It is the gaps between people, documents and systems.

Established workflows work — until volume, staff cover or time pressure increases. Then a “quick manual step” quietly becomes a daily cost centre.

01

Requests are copied multiple times

Information from email or WhatsApp is entered manually into the CRM, spreadsheets and task lists.

Lost time & typing errors
02

Documents wait to be processed

Invoices, reports and forms have to be read, checked, named and filed.

Backlogs & follow-ups
03

No one sees the full workflow

Each application knows only one part. The current status exists only in individual employees’ heads.

Dependency & blind spots

Quick self-check

Where are you losing the most time right now?

Choose the area that best describes your daily work. You will immediately see what a sensible first step could look like.

A sensible first step easy to start small

Pre-sort incoming requests in one place

Emails and messages are recognised, completed and turned into clear tasks automatically. Unclear cases remain visible.

  • No system change required
  • The final decision stays with your team
  • Can be tested as a small pilot

Practical solutions

Not another off-the-shelf platform.
A workflow shaped around the way your business works.

We start where friction exists today — and connect only what genuinely needs to be connected.

Incoming

Capture and prepare enquiries automatically

Email, WhatsApp and forms become complete, prioritised cases — without copy and paste.

  • Check completeness
  • Identify ownership
  • Create a task or CRM record

Documents

From reading to review and filing

Recurring documents are recognised and prepared. You step in only when something falls outside the rules.

Systems

Connect CRM, accounting and spreadsheets

Data is maintained once and stays current everywhere it matters.

Control

Automated, with you still in control

Normal cases flow through. Uncertain or important decisions are deliberately presented to a person.

How a reliable workflow takes shape

Start small.
Prove it properly.
Then expand.

You do not need a specification document. One real case and a short conversation are enough to begin.

Describe your workflow with no obligation
  1. 01
    20–30 minutes

    Understand the real workflow

Where does information arrive? Who checks what? Which exception costs the most time today?

    Outcome: a clear process map
  2. 02
    Before the project starts

    Assess value and effort honestly

You receive a clear recommendation: automate, simplify — or intentionally leave it as it is.

    Outcome: a bounded first step
  3. 03
    In short iterations

    Build with real cases

The workflow is built from real examples and tested with your team. No black box, no big bang.

    Outcome: a working pilot
  4. 04
    After a successful test

Hand over cleanly and support it

Documentation, monitoring and clear ownership keep the workflow reliable in daily operations.

    Outcome: controlled operations

The important difference

Automation should take work off your hands.
Responsibility should remain with you.

That is why checks, exceptions and rollback paths are designed from the start, not after something goes wrong.

A person decides

Approvals at the right points

Important decisions deliberately stay with the people who understand the business.

Exceptions stay visible

Exceptions are surfaced

Unclear cases do not disappear inside the system; they reach the right person with the necessary context.

Fully documented

Every step remains traceable

Logs and documentation show what happened, when and why.

How we work

Close to your process.
Strong at turning ideas into working systems.

We combine operational understanding with technical delivery. We listen first, ask the right questions and only then start building.

Our experience comes from real operations, integrations and automation: from time tracking and document processing to CRM, email and reporting.

Business first Technology adapts to your operation, not the other way around. Process → Solution
One team owns the outcome You talk to the team that designs and builds the solution. Conversation → Delivery
A handover your team can use Your operation never depends on knowledge held by one person. System → Independent

A way of working that fits your project

From one bottleneck to continuous operational improvement.

Frequently asked questions

What you may want to know before our first conversation.

Is your question not listed? Send us two sentences about your workflow. No technical preparation is needed.

kontakt@mosman.ai
Do we need to replace our existing software?

Usually not. The best place to start is often to connect existing systems properly and remove manual handovers. We only recommend replacing software when there is a genuine business need.

Is our process too unusual to automate?

Established processes always have their own quirks. The key is to separate repeatable normal cases from genuine exceptions and design for both.

How do we know whether the effort is worthwhile?

Before implementation, we assess frequency, time spent, the impact of errors and technical effort together. If a simple organisational change is the better answer, we say so openly.

What happens when the automation is uncertain?

Uncertain cases are never processed silently. They are flagged and presented for review with the necessary context. Critical decisions can always require approval.

Can we start small?

Yes. A clearly bounded pilot with real cases is the preferred starting point. The workflow is expanded only after value and stability have been proven.

Who supports us after implementation?

You continue to have direct contacts in our team. Depending on your needs, the solution can be handed over, supported when required or developed continuously.

Tools used in real projects

The technology stays in the background.
But it is built to be resilient.

We choose tools based on workflow, operations and handover — not hype. We have already connected these technologies in production.

Scheduling & customer portal

From the first request to a paid invoice.

An established scheduling process was replaced with one continuous digital workflow without interrupting operations.

1shared job record
Reviewbefore delivery and invoicing
01 · Starting point

Many handovers, little visibility.

Scheduling, field service, photos, invoices and follow-up questions lived in separate tools.

02 · New workflow

One case follows the job.

Office staff, mobile teams and customers work with the same current information.

03 · Control

Automatic, but traceable.

Approvals, deliveries and payments remain visible; exceptions go to a person.
